Use Roadsoft Mobile

Roadsoft Mobile is a version of Roadsoft meant for use on smartphones and tablets available on both iOS and Android devices. These instructions cover the basic steps for using Roadsoft Mobile, including opening a database file, managing assets, and adding information such as work orders, inspections, and maintenance. Currently, Roadsoft Mobile has modules for managing data on for culverts, roads, sidewalks and signs.

The Roadsoft software suite helps reduce paperwork for work crews. Roadsoft programs have sections designed to hold information about activities such as work orders, inspections, maintenance, and stream crossing surveys. This data can then transfer between Mobile and Roadsoft, allowing agencies to keep their people up to date on asset conditions and helping them accurately assess any resources needed for work.

The performance of Roadsoft Mobile will vary depending on device specifications and the number of signs and supports downloaded to the device. For example, a device with 500 signs and 300 supports downloaded will perform better than a device with 6,000 signs and 4,000 supports downloaded.

Like the Laptop Data Collector, Roadsoft Mobile uses GPS to locate its current position and place assets. Mobile uses the GPS technology already built-in to the device, so remember to turn the device’s GPS on when using Mobile. When the map opens the app it auto-locates to the device’s current GPS position.

Before using Mobile, make sure to upload the latest database from Roadsoft to Mobile. Open a Database File

With Roadsoft Mobile open:

Select the desired file from the list in the Manage Database menu.

If the desired file is not visible, swipe up or down with a finger to scroll through the list of available files. If it is still not visible, try downloading it from Roadsoft to Mobile again using the instructions in Upload for Mobile.

Select the Open button.

Once Roadsoft Mobile opens a database file from the cloud it downloads it and stores the file on the device. Downloaded files have the label “On Device” next to their names, while files still in the cloud have the label “In Cloud”.

Select an Asset Module

Select the Back Arrow button to open the module list.

Alternatively, swipe from the left edge of the screen towards the right to open the module list.

Select the desired asset module.

Select the Back Arrow button to close the module list.

Alternatively, swipe from the right side of the screen towards the left to close the module list.

Add an Asset to the Map

Select the Add Asset button Picture 10 from the Quick Action Toolbar on the Map tab.

Mobile places the asset at the current GPS location.

Select the Left, Center, Both, or Right button to indicate which side of the road the asset is on.

Not all modules use every side option.

Select the Save button to save the asset, or select the Cancel button to discard it.

Select the Asset tab (Culvert, Road, Sign, Sidewalk, etc).

In iOS, tabs appear as icons (typically found at the bottom of the screen). In Android, tabs appear as selectable text (typically found at the top of the screen).

Select desired fields to edit them.

For descriptions of the fields in each asset tab, see the respective Add, Edit & Delete in Roadsoft document for that asset.

Select the Apply button to save any changes, or select the Undo button to discard them.

Edit an Asset

Select the desired asset from the Map tab.

Select the Asset tab (Culvert, Road, Sign, Sidewalk, etc).

In iOS, tabs appear as icons (typically found at the bottom of the screen). In Android, tabs appear as selectable text (typically found at the top of the screen).

Select desired fields to edit them.

For descriptions of the fields in each asset tab, see the respective Add, Edit, & Delete in Roadsoft document for that asset.

Select the Save button to save any changes, or select the Undo button to discard them.

Delete an Asset

Select the desired asset from the Map tab.

Select the Delete button Picture 203 from the Toolbar.

Select the Yes button to delete the asset, or select the No button to keep it.

Add a New Work Order

Select the desired asset from the Map tab.

Select the Add Work Order button Picture 1 from the Toolbar.

Select fields to enter information.

Some modules do not use every field in this list.

Work Order ID – Select the field to enter an identification name for the work order.

Work Type – Select the Drop-down list to select the type of work performed.

The Sign module uses the Support and Sign Name fields to record the work performed on the individual signs and supports at a location Instead of one Work Type field.

Status – Select the Drop-down list to select the status of the work order towards completion.

Priority – Select the Drop-down list to select the priority level of the work order.

Entered Date – Select the Drop-down menu to select the date the work order was entered into the database.

Completed Date – Select the Drop-down menu to select the date work finished.

If the Completed Date field is not available when adding a work order, save the order and then edit it.

Authorized By – Select the field to enter who authorized the work order.

Assigned To – Select the field to enter the names of people assigned the work order.

Short Description – Select the field to enter a short description of the work order.

Work Details – Select the field to enter any important details about the work order.

Worker Comments – Select the field to enter any comments workers have about the work order.

Activity – Select the Drop-down list to select the type of work performed.

Reason – Select the Drop-down list to select a reason for the work order.

Support– Select the Support field to enter the type of work performed on the support.

Sign Name – Select a Sign Name field to enter the type of work performed on the sign

Sign Name fields will be called the name of the sign (D5-2A, R1-1, etc).

Select the Save button to save the work order, or select the Cancel button to discard it.

Saved work orders’ Status fields are automatically set to Open. To edit the work order status, see the Edit a Work Order section below.

Edit a Work Order

Select the desired asset from the Map tab.

Select the Work Orders tab.

Select the desired work order from the list.

Select fields to edit them.

Select the Save button to save any changes, or select the Cancel button to discard them.

Complete the Latest Open Work Order

Select the desired asset from the Map tab.

Select the Complete Work Order button Picture 2 from the Toolbar.

The Work Order window will open the most recent work order added to the asset. To complete an older work order, edit it using the instructions in the Edit a Work Order section above and set the Status field to “Completed.”

Select fields to make any necessary changes.

When completing a work order the Status field is automatically set to “Completed”. For a list of fields and their descriptions, see the Add a New Work Order section above.

Select the Save button to save the changes, or select the Cancel button to discard them.

The Maintenance window will automatically open after a sign or culvert work order is completed. Edit fields and select the Save button to create a maintenance document related to the work order, or select the Cancel button to close the window and discard the maintenance. For instructions on how to fill a maintenance form, see the Add a New Maintenance section below.

Delete a Work Order?

Select the desired asset from the Map tab.

Select the Work Orders tab.

Select the desired work order from the list.

Click the Delete Selected button.

Add a New Maintenance

Select the desired asset from the Map tab.

Select the Add Maintenance button Picture 4 from the Toolbar.

Select fields to edit them.

Some modules do not use every field in this list.

Date – Select the Drop-down menu to select the date for maintenance.

Work Type – Select the Drop-down list to select the type of maintenance performed.

Reason – Select the Drop-down list to select a reason for performing maintenance.

Authorized By – Select the Drop-down list to select who authorized this maintenance.

Work Crew – Select the field to enter whoever is performing the maintenance.

Memo – Select the field to enter any additional information relevant to the inspection.

If the maintenance was generated after completing a work order, the Memo field will be automatically populated with the work order’s ID, Description, and Authorized By fields.

Support– Select the Support field to enter the type of maintenance performed on the support.

Sign Name – Select a Sign Name field to enter the type of maintenance performed on the sign

Sign Name fields will be called the name of the sign (D5-2A, R1-1, etc).

Select the Save button to save the maintenance, or select the Cancel button to discard it.

Edit a Maintenance

Select the desired asset from the Map tab.

Select the Maintenance tab.

Select the desired maintenance from the list.

Select fields to edit them.

Select the Save button to save any changes, or select the Undo button to discard them.

Delete a Maintenance

Select the desired asset from the Map tab.

Select the Maintenance tab.

Select the desired maintenance from the list.

Select the Delete Selected button.

Select the Yes button to delete the maintenance, or select the No button to keep it.

Add a New Inspection/Rating

Select the desired asset from the Map tab.

Select the Add Inspection/Rating button Picture 6 from the Toolbar.

The Sign and Sidewalk modules call this the Inspections tab and the Culvert module calls this the Ratings tab. For a list of Mobile button, see Navigate Roadsoft Mobile.

Select fields to enter information.

Some modules do not use every field in this list.

Date – Select the Drop-down menu to select the date the asset was inspected.

Culvert – Select the Drop-down menu to rate the culvert condition.

Channel – Select the Drop-down menu to rate the channel condition.

Waterway – Select the Drop-down menu to rate the waterway condition.

Memo – Select the field to enter any additional information relevant to the inspection.

Inspectors – Select the field to enter the names of whoever performed the inspection.

Nighttime Inspection? – Select the Switch to indicate whether the inspection was performed at night.

Obstruction – Select the Drop-down menu to select any objects obstructing view of the asset.

Support Condition – Select the Drop-down menu to rate the support condition.

Sign Name – Select the Drop-down menu next to the name of a sign to rate that sign’s condition.

Sign Name fields will be called the name of the sign (D5-2A, R1-1, etc).

Condition – Select the Drop-down menu to rate the asset condition.

No Activity Needed – Automatically switches on and off based on if any other activity switches are on or off.

Fix Ramp – Select the Switch to indicate whether any ramps leading to the sidewalk need fixing.

Graffiti Removal – Select the Switch to indicate whether there is any graffiti present and in need of removing.

Reconstruct Sidewalk – Select the Switch to indicate whether the sidewalk needs reconstructing.

Replacement – Select the Switch to indicate whether any part of the sidewalk needs replacing.

Trip Hazard Grinding – Select the Switch to indicate whether there are parts of the sidewalk that pose a tripping hazard and need grinding flat.

Select the Save button to save the new inspection, or select the Cancel button to discard it.

Edit an Inspection/Rating

Select the desired asset from the Map tab.

Select the Inspections or Ratings tab.

The Sign and Sidewalk modules call this the Inspections tab and the Culvert module calls this the Ratings tab.

Select the desired inspection from the list.

Select fields to edit them.

For a list if Inspection fields, see the Add a New Inspection/Rating section above.

Select the Save button to save any changes, or select the Undo button to discard them.

Delete an Inspection/Rating

Select the desired asset.

Select the Inspections or Ratings tab.

The Sign and Sidewalk modules call this the Inspections tab and the Culvert module calls this the Ratings tab.

Select the desired inspection from the list.

Select the Delete Selected button.

Select the Yes button to delete the inspection, or select the No button to keep it.

Add a Stream Crossing Survey

Select the desired culvert from the Map tab.

Select the Add Stream Crossing Survey button Picture 8 from the Toolbar.

Select an icon (General, Crossing, Structure, etc) to choose a section.

Select fields to enter information.

Select the Save button to save any information, or select the Cancel button to discard it.

Edit a Stream Crossing Survey

Select the desired culvert from the Map tab.

Select the Survey tab.

Select the desired survey from the list.

Select an icon (General, Crossing, Structure, etc) to choose a section.

Select fields to edit them.

Select the Save button to save any edits, or select the Undo button to discard them.

Delete a Stream Crossing Survey

Select the desired culvert from the Map tab.

Select the Survey tab.

Select the desired survey from the list.

Select the Delete button.

Select the Yes button to delete the survey, or select the No button to keep it.

Edit the Stream Crossing Survey Layout

Select the a culvert from the Map tab.

Select the Survey tab.

Select a survey from the list.

Select the Layout button.

Select the desired section.

Select the desired field from that section.

Select the Hide/Show button to make the field visible or invisible in the survey tab.

If the field is hidden the button is labelled Show, and if it is visible the button is labelled Hide.

Select the Up and Down buttons to change the field order.

Select the Apply button to save any changes, or select the Cancel button to discard them.
