Add, Edit & Delete Work Orders
Agencies often have to create and manage many work orders for their assets. The Work Order tab in the Laptop Data Collector (LDC) provides a quick and easy way to manage work orders for assets, including culverts, drainage structures, guardrails, sidewalks, and signs. While the LDC is ideal for recording new data on-site, Roadsoft can add, edit, and delete work orders as well. To add work orders in Roadsoft, see Add a Work Order. While the work order formats in each of these tabs may have some minor differences from each other, they all follow the general layout of these instructions.
Exchanging data between Roadsoft and the LDC is like a cycle, first import a new data collection network into the Laptop Data Collector (LDC) before adding or editing data to make sure everything is up to date. Then remember to export LDC data back into Roadsoft. For instructions on importing and exporting data between the LDC and Roadsoft, see Import and Export LDC Data - The Data Cycle.
Because there are keyboard shortcuts defined within the LDC, typical keyboard shortcuts like Ctrl + C (copy) and Ctrl + V (paste) do not work.
Add a Work Order
Select the desired asset tab.
The Culvert, Drainage Structure, Guardrail, Sidewalk and Sign modules use the Work Orders tab. If the desired module is not visible, select the Window List button and select the module from the list.
Select the desired asset from the map.
Select the Work Orders tab.
Manage the amount of tabs onscreen by “pinning” and “unpinning” them. For help pinning windows, see Pin & Unpin Windows.
Select the Add Work Order button.
Select fields to enter information.
Most modules do not use every field in this list. Each module has different requirements for their work orders. If a required field is still blank when attempting to save, the LDC will display an alert message and will not save the work order until all required fields have an entry.
Work Order ID – Select the field to enter an identification name for the work order.
Make sure the Work Order ID is correct. After saving the work order, most modules cannot change this field.
Entered Date/Entry Date– Select the Drop-down menu to select the date the work order was entered into the LDC.
Some modules call this the Entered Date field and some modules call it the Entry Date field.
Activity – Select the Drop-down list to select the type of work requested.
Some modules have multiple activity fields for individual parts and assets at the location. At least one of these activity fields must have an entered activity in order to save the work order.
Status – Use the Drop-down list to indicate the work’s status towards completion.
Completed Date – Select the Drop-down menu to select the date work was completed.
The Completed Date field is available when the Status field is set to “Completed”.
Reason – Select the Drop-down list to select the reason for performing work on the asset.
Priority – Use the Drop-down list to indicate the level of urgency for the work order.
Assigned To – Select the field to enter the names of people assigned the work order.
Authorized By – Select the field to enter who authorized the work order.
Short Desc. – Select the field to enter a short description of the work order.
Work Details – Select the field to enter any important details about the work order.
Worker Comments – Select the field to enter any comments workers make about the work order.
Sediment Removed – Select the field to enter the total cubic yards of sediment removed during the work order.
Water Removed – Select the field to enter the total gallons of water removed during this work order.
Select the Save button to save the work order, or select the Cancel button to discard it.
If the entered work order’s status is set to “Completed”, the Add Maintenance window will open after saving the work order. Select the Save button to create a Maintenance form, or select the Cancel button to discard it.
Edit a Work Order
Select the desired asset tab.
The Culvert, Drainage Structure, Guardrail, Sidewalk and Sign modules use the Work Orders tab. If the desired module is not visible, select the Window List button and select the module from the list.
Select the desired asset from the map.
Select the Work Order tab.

Select any field from the desired work order.
Select the Edit button.
Selecting the Edit button from any field in a work order will open the Edit Work Order window.
Select fields to edit them.
For a list of all fields in the Work Order tab, see the Add a Work Order section above.
Select the Save button to save any changes, or select the Cancel button to discard them.
If the work order’s status is set to “Completed”, the Completion Date field will appear with today’s date in it after saving the work order. To change the Completion Date field, edit the work order again.
The Add Maintenance window will open when saving a completed work order. Select the Save button to create a Maintenance form or select the Cancel button to discard it.
Delete a Work Order
Select the desired asset tab.
The Culvert, Drainage Structure, Guardrail, Sidewalk and Sign modules use the Work Orders tab. If the desired module is not visible, select the Window List button and select the module from the list.
Select the desired asset from the map.
Select the Work Orders tab.
Manage the amount of tabs onscreen by “pinning” and “unpinning” them. For help pinning windows, see Pin & Unpin Windows.
Select the Delete Work Order… link next to the desired work order.
Select the Yes button to delete the order, or select the No button to close the Delete window.
